The Operations Coordinator contributes to the overall functioning of The Cornucopia Institute by managing backend operations. This fully remote position carries out administrative and office support for systems that support Cornucopia’s staff, donors, and vendors, including processing financial paperwork, reviewing and coding expenditures, and database management.

POSITION DESCRIPTION

The Operations Coordinator is the primary staff member responsible for ensuring that structural procedures support and align with organizational values. The primary responsibilities of this position include: administrative services and financial management. This staff person maintains careful records and works with other staff and consultants (HR and accounting) to ensure compliance with state and federal legal requirements. The ideal candidate knows that this work enables an organization to thrive, has meticulous attention to detail, and recognizes the value of impeccable tracking and follow-through. The Operations Coordinator works closely with and reports to the executive director. This position is remote, although limited travel may be required.

CORE RESPONSIBILITIES

Administrative Services

  • Ensures all operations run efficiently and in compliance with state and federal regulations.
  • Collaborates with executive director to ensure agreements, insurance, and other pertinent documentation are adequate and maintained as legally required.
  • In collaboration with the Leadership Team, develops and implements efficient, user-friendly procedures and policies following best practices.
  • Collaborates with SustainableHR to ensure appropriate human resources procedures are followed and maintained for teammates and external partners.
  • Proposes new policies and procedures to support Cornucopia’s growth and development.
  • Establishes and maintains an organized filing system.
  • Improves and implements administrative and operational accounting services such as payroll, accounts payable, and purchasing.
  • Acts as point of contact for contractors such as accountants and auditors, including preparing consulting agreements and processing payment requests.
  • Updates and edits Cornucopia’s employee handbook with policies and procedures.
  • Manages contact lists in Salesforce database.
  • Supports travel and meeting arrangements for staff and board, including scheduling meetings and booking flights, ground transportation, and accommodations.
  • Provides logistics for hiring, including posting job descriptions, creating applicant files, and scheduling interviews.
  • Assists with annual employee reviews.
  • Collaborates with IT staff to ensure all systems and technology needs are addressed.
  • Administers Cornucopia’s TechSoup account.
  • Serves as liaison and minutes-taker for board of directors and policy advisors.
  • Provides coordination and logistical support for events and meetings.
  • Provides back-up support for the phone line and main Cornucopia contact email inbox.

Financial Management

  • Assists executive director in developing and monitoring operating budget.
  • Assists executive director with financial review, bank account management, annual 990 and audit preparation.
  • Works with accountants to track and document project expenses.
  • Ensures compliance with financial policies and best practices.
  • Reviews and submits payroll and reimbursements for payment.
  • Tracks credit card receipts and ensures credit card coding.
  • Oversees and disseminates reports from corporate giving platforms and PayPal.

Other

  • Contributes to Cornucopia’s success by accepting new assignments, helping team members, learning new skills, and striving to improve team and organization results.
  • Supports staff members with special assignments and project-management tasks.
  • Performs other duties as needed.

QUALIFICATIONS & EXPERIENCE

  • 3+ years relevant experience
  • Tech-savvy and able to learn new systems quickly
  • Proficient with Microsoft O365 (Word, Excel, PowerPoint, Outlook)
  • Experience tracking financials and reading budgets
  • Experience with Salesforce, Raiser’s Edge NXT, AirTable, QuickBooks Online, and task management software preferred

COMPENSATION & BENEFITS

$50,000 annual compensation, 3 weeks vacation, 10 holidays, 12 sick days, short- and long-term disability, and QSEHRA healthcare reimbursement.

TIME COMMITMENT

40 hours/week – generally Monday through Friday during business hours, but job duties may occasionally require evening or weekend hours and travel. Start date: Late August.
